Late Payer Scripts That Work: Email, SMS and Call Templates for Debt Collection Software

The wording you use decides whether a late payer replies or hides. These templates are written for debt collection software, which means they assume automation, so they avoid anything that would be inappropriate sent without human review.

Email: day one overdue

Subject: Invoice {number} — now due. Body: 'Hi {name}, invoice {number} for {amount} fell due on {date} and we have not recorded payment. If it is already on its way, please ignore this. If something is holding it up — including anything you would like to query — reply here and we will sort it out. Payment link: {link}.'

SMS: day seven

'Hi {name}, {company} here. Invoice {number} ({amount}) is 7 days overdue. Pay: {link}. If there's an issue with the invoice, reply and we'll look into it.' Keep it under two lines, identify yourself, and never imply consequences you have not decided to apply.

Call: day 21

  • Identify yourself and the business immediately
  • Confirm you are speaking to the right person before mentioning the debt
  • Ask an open question: 'What's holding up invoice {number}?'
  • Offer the payment plan you are authorised to offer
  • Confirm the agreed next step and date, then log it

Language to avoid

No implied legal action you have not authorised, no credit-listing threats, no contact with third parties about the debt, no suggestion of consequences that are not real. These are conduct risks whether a human or an AI sends them.
